What Is an ATS Resume? Format, Example and How to Test Yours

An ATS resume is a resume formatted so an applicant tracking system can read it: one column, standard section headings, real selectable text, contact details in the main body and a text-based PDF or Word file. The system turns your file into fields that recruiters search by keyword, so it also needs the job posting's own terms, used honestly.

Many job seekers have heard that software rejects most resumes before a person sees them, and respond by stuffing keywords or buying a template sold as "ATS-proof". The more useful picture is simpler. An applicant tracking system is a database with a search bar. Resumes lose out when the system cannot extract their text cleanly, so a recruiter's search never finds them. Fix the parsing and the wording, and you have fixed most of the problem.

What is an ATS?

An applicant tracking system (ATS) is software employers use to collect, store, search and manage job applications. When you apply through a careers page, your resume usually lands in the ATS rather than in someone's inbox. Common platforms include Workday, Greenhouse, Lever, Oracle Taleo and iCIMS; smaller employers often use the hiring tools built into job boards. They differ in features, but each turns a pile of files into a searchable list of candidates.

How an ATS reads your resume

  • Upload: the system accepts your file (usually PDF or DOCX) and keeps the original.
  • Text extraction: it pulls the raw text out of the file. Image-based PDFs, text boxes and complex columns fail here.
  • Field mapping: it sorts the text into fields such as name, email, job titles, employers, dates, education and skills. Unusual headings and creative layouts confuse this step.
  • Search and ranking: recruiters filter and search those fields. Some systems also score candidates against the job's requirements.

Three of the four steps are about reading your file, not judging it. Most so-called ATS rejections are extraction or mapping failures: the information was on the page but never reached the database in a usable form.

Do ATS systems reject resumes automatically?

Rarely on resume content alone. Automatic screening usually comes from knockout questions on the application form, such as work authorisation or a required licence. After that, a recruiter searches and reviews. Your resume's job is to be read correctly and to contain the words that recruiter will search for.

Formatting that breaks parsing

  • Sidebars and multi-column layouts: some parsers read straight across the page and merge a sidebar skill with a job title.
  • Text boxes and layout tables: their contents can be skipped or reordered.
  • Contact details only in the header or footer: some systems ignore those regions, so the recruiter cannot reach you.
  • Information in images: a skills chart, logo or name set as a graphic contains no text to extract.
  • Creative section names such as "Where I've made an impact" instead of Experience.
  • Scanned or image-only PDFs: a picture of text is not text.
  • Hidden keywords in white or tiny font: easy for a person to spot and damaging once they do.
  • Mixed date formats, which make it hard for the system to work out how long you held each role.

The second version keeps the contact line, maps each job to the right fields and puts every skill in searchable text. It is also easier for a person to skim.

How to test your resume for ATS (free)

You do not need an ATS account to catch most problems. This test takes about five minutes:

  • Open your exported PDF and try to highlight a sentence. If you cannot select text, neither can an ATS.
  • Select all, copy, and paste into a plain text editor such as Notepad.
  • Read the result from top to bottom. Sections should appear in order, with no sidebar text mixed into job entries.
  • Search the pasted text for your email address and phone number. If they are missing, they were probably in a header or footer.
  • Check each heading appears as a plain word: Experience, Education, Skills.
  • Compare the text with the job posting and confirm its main required skills appear where they are true for you.

Online ATS checkers can be useful as a second opinion, but their score comes from their own parser and scoring rules, not from the employer's system. Treat a score as a prompt to look again, not a pass mark.

ATS keywords: how many and where

There is no fixed number. Read the posting, pick out the eight to fifteen skills, tools and qualifications it stresses, and make sure each one that applies to you appears in your resume in the posting's own wording.   • Put a keyword inside the bullet where you used it, not only in the skills list.
  • Write acronyms both ways once: Search Engine Optimisation (SEO).
  • Use a recognisable job title next to an unusual internal one.
  • Stop when the resume still reads naturally to a person. Someone reads it after the search.

There is no fixed count. Match the most important skills and tools in the posting that genuinely apply to you, and place them in context in your bullets.
Does keyword stuffing help?
No. Repeated or hidden keywords are obvious to the recruiter who reads the resume after the search, and they undermine the rest of it.
Does a photo affect ATS parsing?
